The Position:

Reporting to the Energy Division Operations Manager, the Liquid Fuels Supply Coordinator is responsible for overseeing the safe and efficient transportation of bulk fuel and propane, while managing procurement activities to ensure reliable, cost-effective supply. This dual-role position ensures the company’s bulk inventories are properly maintain, hauling fleet is optimized, delivery schedules are met, compliance with regulatory standards is maintained, and vendor relationships are effectively managed to secure competitive pricing and availability of product.

Responsibilities:

Haulage Coordination

  • Plan, schedule, and monitor bulk fuel and propane deliveries across designated service areas.
  • Coordinate driver assignments, vehicle availability, and routing to maximize efficiency and minimize downtime.
  • Track load movements, ensuring accurate documentation of quantities, delivery times, and compliance with transportation regulations.
  • Respond to driver or dispatch issues promptly to ensure service reliability.
  • Oversee vehicle safety, maintenance schedules, and compliance with MTO/TSSA/transport regulations.
  • Maintain communication between dispatch, drivers, and operations teams to manage daily haulage requirements.

Procurement

  • Forecast product demand based on seasonal needs, customer commitments, and historical usage.
  • Source bulk propane, fuel, DEF, and related supplies from approved suppliers at competitive rates.
  • Monitor market pricing trends and provide recommendations on purchasing strategies.
  • Ensure compliance with safety, environmental, and regulatory standards in all activities.
  • Maintain accurate inventory records, purchase orders, and supplier agreements.
  • Work schedule would be 8:00 a.m. to 5:00 p.m., Monday to Friday. 
  • Other duties as required.

Qualifications/Skills:

  • Minimum 3–5 years’ experience in logistics coordination, fuel/propane hauling, or procurement roles.
  • Strong understanding of transportation regulations, propane/fuel handling, and MTO/TSSA requirements.
  • Knowledge of procurement processes and vendor management.
  • Proficiency in Microsoft Office (Excel/Outlook).
  • Strong communication and organizational skills with the ability to manage multiple priorities.
  • Ability to work in a fast-paced environment with a high level of accuracy and attention to detail.
  • Organizational Skills: Ability to manage multiple deliveries, schedules, and procurement tasks.
  • Problem-Solving: Quick response to unexpected supply, fleet, or delivery challenges.
  • Compliance Awareness: Thorough knowledge of safety and transport regulations.
  • Teamwork & Communication: Effective coordination with drivers, vendors, and internal departments.
